What data we process
Registration and account data: name, email, phone, business name and industry.
Platform usage data: logins, configuration, technical and billing logs.
Data of our users' end customers (conversations, appointments, payments), which we process as data processors on behalf of each business.
Purposes and legal basis
Providing the contracted service or the free trial (performance of a contract, Art. 6(1)(b) GDPR).
Responding to contact requests (consent and pre-contractual measures, Art. 6(1)(a) and 6(1)(b) GDPR).
Billing and legal obligations (Art. 6(1)(c) GDPR).
Improving the security and operation of the service (legitimate interest, Art. 6(1)(f) GDPR).
Data processor
With regard to the data of each business's end customers, Akkaia acts as data processor under Art. 28 GDPR. The conditions are set out in the data processing agreement that forms part of the terms of service.
Retention
We keep data while the account is active and, afterwards, for the applicable legal periods. Data from a trial that does not convert is deleted within a reasonable period unless a legal obligation applies.
Recipients and transfers
We use providers that help us deliver the service (hosting, email, payments, messaging and AI models). We sign the necessary contracts with them. Where a provider is located outside the European Economic Area, the transfer is covered by adequacy decisions or standard contractual clauses of the European Commission.
Your rights
You can exercise your rights of access, rectification, erasure, objection, restriction and portability by writing to hola@akkaia.es. If you believe we have not handled your request properly, you can lodge a complaint with the Spanish Data Protection Agency (AEPD, www.aepd.es).
Security
We apply appropriate technical and organizational measures: encryption in transit, access control, backups and separation of data by business.
