Every day you get calls, WhatsApp messages, Instagram DMs and emails. Many people ask for a price or a slot and, if nobody replies or follows up, they go elsewhere. This guide explains how to go from conversation to customer with a simple method, and how AkkaSignal does it with its customer pipeline.
Why do businesses lose customers in conversations?
Mainly for three reasons: replies come late, nobody knows where each person stands and there is no follow-up. An enquiry that waits for hours goes cold, someone who asked for a quote and never heard back forgets about you, and when each channel runs separately nobody has the full picture.
Is replying fast enough?
No, but it is the first step. Replying straight away stops people leaving; then you need to take them to the booking or purchase: offer a slot, remind them of the appointment and pick the conversation up again if it stalls.
What happens when each channel runs separately?
You lose the thread. If someone messages on Instagram and then calls, your team doesn't know what was said. With a single history per customer and a contact profile, everything stays together.
What is a customer pipeline and what is it for?
It is a way of organising your contacts by where they stand, from the first message until they become customers. It looks like a kanban board: one column per stage and one card per person. You'll find the full definition in the glossary.
Which stages should you use?
Few and clear ones. AkkaSignal uses six: New, Cold, Warm, Hot, Customer and Lost. At a glance you see who just got in touch, who is interested, who has an appointment and who is already a customer.
Do I need a full CRM?
To serve customers and close appointments, usually not. A full CRM makes sense for large sales teams and long sales cycles. If you already use one, AkkaSignal doesn't replace it: it connects via API, webhooks or n8n.
How does AkkaSignal turn conversations into customers?
It answers, books and organises. The multichannel AI agent replies on Voice, WhatsApp, Instagram and Email, offers the free slots in your calendar and books the appointment. Each person shows up as a card in the customer pipeline, included in every plan.
What does each card show?
- Name and phone or email.
- Channels of their conversations: Voice, WhatsApp, Instagram and Email.
- Last message and how long ago.
- Next appointment, pending tasks, tags and estimated value.
Each column shows how many contacts it holds and their total estimated value. You move cards by dragging them, with “Move to…” or with the keyboard, and filter by text, agent, channel, tag or open task.
Does the agent change the stage by itself?
Yes, carefully. When it books an appointment, the contact moves to Hot (if it was New, Cold or Warm); when the deposit is paid, it moves to Customer. It never moves anyone backwards, never touches Customer or Lost and, if someone on your team changed the stage in the last 7 days, it leaves it alone. Every automatic change is logged.
What's in the contact profile?
The editable details (name, phone, email, stage, estimated value, tags and notes), tasks, the details the agent has collected and a timeline of conversations, appointments, deposits and stage changes. From there you open the conversation, book an appointment or mark the contact as Customer or Lost.
How do I follow up without forgetting anyone?
With tasks. Add a dated task in the profile, for example “call to confirm the quote”. Tasks are grouped into Overdue, Today and Upcoming, the menu shows a counter of pending ones and your dashboard home lists today's tasks.
If you want to automate it, stage changes can trigger workflows (for example, a follow-up message) and the contact.stage_changed webhook to notify other tools.
Where do I start?
- Connect your channels: Voice, WhatsApp, Instagram and Email.
- Let the agent answer and book using your business information.
- Check the pipeline every day and add tasks for anyone who needs a follow-up.
