If your business runs on appointments or gets lots of enquiries on WhatsApp, sooner or later you will ask how much does a WhatsApp chatbot cost and whether it is really worth it. The short answer: it depends on how it connects, how many messages it sends and whether you choose a platform or a custom build. In this guide we explain what makes up WhatsApp chatbot pricing, which hidden costs to watch for and what our real prices are, the ones we publish on our pricing page.
How much does a WhatsApp chatbot cost: what the price depends on
Two chatbots that look the same can cost very different amounts. These are the items that make up the bill.
Monthly subscription
Most platforms charge a monthly fee that covers the software, the AI and a message allowance. Check exactly what is included: how many businesses, how many agents, how many messages and which features (calendar, payments, reminders). A low fee that leaves out what you need ends up being expensive.
QR vs API connection and Meta fees
There are two ways to connect WhatsApp. With QR you keep your usual number and are up and running in a couple of minutes; WhatsApp charges nothing extra for this route. With the official WhatsApp Business API, Meta charges per conversation or message according to its own published rates, which vary by country and message type. If you are unsure which to choose, read our WhatsApp Business API vs QR comparison.
Message volume
The more messages the agent sends, the more usage it consumes. Always ask what counts as a message: some providers also count the ones you receive. At AkkaSignal only what the agent sends counts; what your customers write to you does not.
Extra channels: voice, Instagram and email
If you want the same agent to handle Instagram, email or the phone, check whether it is included or charged separately. A voice agent usually has a usage-based cost, because every minute of a call uses speech synthesis and recognition resources.
Implementation
Setting up the agent with your services, opening hours, prices and tone takes work. Some providers charge a mandatory setup fee; others, like us, give you a wizard that imports information from your website and Google Business profile so you can have it running in minutes.
Custom chatbot vs SaaS platform
The big decision is whether to commission your own build or use a ready-made platform.
Custom chatbot:
- Pros: it fits very specific processes exactly and you can integrate it with unusual internal systems.
- Cons: it usually requires a considerably larger upfront investment, more time to go live and development hours every time you change something. Maintenance, WhatsApp updates and AI costs are all on you.
SaaS platform:
- Pros: predictable monthly fee, fast setup, ongoing improvements included and support.
- Cons: you work within the platform's features (although an API, webhooks and connectors such as n8n, Make or Zapier cover many cases).
For a small business that takes bookings (a clinic, a gym, an estate agency) a platform will usually cover everything it needs without any development.

Hidden costs to watch for
Before signing with any provider, check these points:
- Lock-in contracts: 12-month or longer contracts that tie you in even if it does not work for you.
- Charging for received messages: doubles your usage without you noticing.
- Mandatory setup fee: a sign-up charge you pay before seeing any results.
- Languages: some charge extra to reply in English or other languages.
- Unexplained Meta fees: if you use the official API, ask whether Meta's fees are included or billed separately.
- Basic features sold as extras: calendar, reminders or deposit payments sold as add-on modules.
- Message overages: what happens if you exceed your plan's allowance.
How to work out whether it pays off
You do not need a complicated spreadsheet. You need three figures from your own business:
- V: what an appointment or sale is worth to you (the margin, not the price).
- N: how many extra appointments or sales a month you would win or stop losing (messages left unanswered overnight, no-shows a reminder would prevent…).
- C: the total monthly cost of the chatbot (fee plus any extra usage).
It pays off if V × N > C. On top of that, add the time your team no longer spends answering the same questions over and over.
The figures are yours: a gym signing up members on WhatsApp and an estate agency screening leads and booking viewings will have very different values for V. The most reliable way to know is to try it with your real customers.
Conclusion
The price of a WhatsApp chatbot is not just the subscription: it also includes the connection (QR or API with Meta fees), message volume, extra channels and implementation. Choose a provider with published prices, no lock-in and no charges for the messages you receive. Compare the plans on pricing and, if you want to see it working with your business, start your 7-day free trial, no card required.
